Section 6.3: Files, Folders, Storage and Collaboration

Your workspace has a proper file system. Files live in folders, folders nest, storage is a number you can see, and anything you open opens in the same viewer. On top of that sits the feedback layer: comment threads and @mentions attached to the work itself.


1. Where Files Live

My Files and Shared With Me

The Documents page has two scopes, chosen from one control at the top:

  • My files: Your personal space. Files here live separately from anything your organization can see.
  • Shared with me: Everything other people have made available to you.

Both scopes carry the same toolbar:

  • Search across everything in the scope.
  • Sort by name, date or size.
  • List or tile view, whichever suits what you are looking for.

Organization Documents

Your organization has its own document space, organized in folders. Drag files into a folder, nest folders inside folders, and switch between the list and the tile view.

Owners and admins manage the organization space. Project files remain the place your whole team works day to day, so a file that belongs to one production is better placed on that project than in the general organization space.

Projects as Folders

Projects shared with you appear as folders. You can upload into one wherever your access allows, with a real progress indicator while the upload runs and a check against your allowance before it starts.


2. Opening a File

One viewer, everywhere. Open a PDF, an image or a document from anywhere in ABRAM and it opens in the same viewer, without downloading it first. This applies whether you found the file on the Documents page, on a project, or attached to a deliverable.


3. Storage

Every plan carries two separate limits, and both are shown to you as you approach them:

  • A storage allowance for the whole organization.
  • A per-file upload limit for any single file.

An organization's storage is one shared pool, so the person who needs more room for a heavy delivery can use it without every seat being sized for the largest job.

The allowance for each plan is listed in Section 5.3. Storage limits are fixed per tier and do not scale with the number of seats on your subscription.

When You Are Running Out

The upload check runs before the transfer begins, so a file that will not fit is refused up front and your time is not spent on a transfer that cannot finish. If you are close to your allowance, the options are to clear out material you no longer need, or to move up a tier.


4. Attaching Files to Work

Beyond the general document spaces, files can be attached directly to the work they belong to:

  • Deliverables Tab: Attach specific project deliverables (drafts, scripts, exports) to their corresponding work items. See Section 3.8.
  • Documents Tab: The project's own document library, supporting a wide range of formats including documents, spreadsheets, images, video, audio and archives.
  • AI Copilot References: Uploading documents to the library lets the ABRAM assistant read and reference their contents during workspace chats, so you can ask questions about the project files conversationally. See Section 0.3.

For material that is better left where it already lives (raw video, audio bundles, design files), use Deliverable Links:

  1. In the deliverable detail panel, click Add Link.
  2. Enter the address.
  3. Give it a friendly label, such as "Rough Cut, Round 2".
  4. Click Add.

External links stay grouped alongside native file attachments, so one panel shows everything attached to that deliverable regardless of where it is stored.


5. Managing Deliverables and Revisions

  • Upload New Revisions: To update a deliverable, delete the existing file and upload a new one. This keeps the team pointed at the latest revision.
  • Notification Alerts: When a freelancer uploads a deliverable or marks work as Ready for Review, producers and project leads are notified in app, by email, and through Slack if it is connected. See Section 6.1.
  • Approvals: Producers can mark deliverables as Approved, which locks further edits and initiates payment schedules.

6. Collaboration Threads and @Mentions

Every deliverable has its own real-time comment thread, which keeps feedback, revision history and change requests attached to the asset they are about.

Using Mentions

  1. In the comment box, type @ followed by the person's name.
  2. A list of active project members appears.
  3. Select the right person.
  4. Type your comment and click Send, or press Enter to submit. Press Shift + Enter for a new line.
  5. The mentioned person receives an in-app and email alert taking them straight to the thread.

Thread Replies and Actions

  • Replies: Click Reply beneath any comment to start a nested sub-discussion, which keeps a specific review item grouped together.
  • Deleting Comments: You can delete your own comments. Project owners and admins can delete any comment.

7. Project Activity and Discussion Feed

Alongside deliverable comments, each project has a unified Activity Feed:

  • Consolidated Discussion: A central board showing project-wide messages, updates and replies.
  • Chronological Status Logs: Automatically integrated logs of project events, including deliverable submissions and revision requests, milestone confirmations and completions, reported blockers, crew changes, and system updates.

The result is a single timeline covering both human conversation and automated events.

Toolbar

Search operates across the active scope. Sort keys: name, date, size. Display modes: list and tile.

Folders

Folders nest. Files are moved between folders by drag. Projects shared with a person are surfaced to them as folders, with upload permitted where their project access allows it.

Viewer

A single in-app viewer handles PDF, image and document formats from every surface in the application. No download step precedes viewing.

Storage Limits

Two independent limits apply: an organization-wide storage allowance and a per-file upload size cap. Both are plan-determined and surfaced to the user as they approach them. The organization allowance is a single shared pool and is fixed per tier; it does not scale with seat count. The allowance check runs before an upload begins. An oversize or over-allowance upload is refused up front.

Comment Threads

Threads attach to individual deliverables. Mentions resolve against active project members and dispatch in-app plus email notification. Replies nest one level. Comment authors may delete their own comments; project owners and admins may delete any comment.
