Section 4.6: Team Management
Team management in the sidebar shows your whole organization's people in one place: who is booked, who is free, where work clashes, and what hours were logged.
Team management is on Pro and above. You need team admin rights to open it.
The page has eight tabs: Overview, Crew roster, Calendar, Hours record, Planning, Templates, Skills and Analytics.
At the top of the page, the date range and Filters apply to the tab you are on. Filters holds Project, Work scope (All, Project work or Non-project) and People type (All, Internal or External). Managers and team leads also get Show, with Everyone and My team. Each tab shows only the filters it uses. Planning covers project work only.
1. Overview
A table of everyone in your organization with their Name, Type, Job title, Department, Current projects, Capacity, Booked hours, Utilization and Status. Search by name, email, role or project, and narrow the table by Role and Location. CSV downloads it.
A strip above the table shows People, Avg utilization, Planned hours, Overbooked and Conflicts. Click Conflicts to open them in Planning.
Click a person to open their panel.
2. Crew roster
The freelancers and companies your organization books, with their roles, rates and availability. See Section 4.1: Crew Roster.
3. Calendar
Everyone's bookings on one calendar. Use Color by to colour blocks by Project, Type, Client or Person. Custom colours are on Pro and above.
Drag a booking to move it. Dragging a work order booking opens the work order with the new date filled in, so the change reaches everyone on it.
4. Hours record
Hours your people logged, in three sections:
- Entries: every time entry in the date range.
- Approvals: time cards and time-off requests waiting for a manager. Timecard approval is on Studio and above.
- Planned vs actual: booked hours against logged hours, so you can see who went over or under.
See Section 5.5: Timesheets and Time Tracking.
5. Planning
Planning has four views: Forecast, Workload, Insights and Conflicts. It opens on Forecast.
Workload
A day-by-day grid of who is over or under capacity. This week and next are pinned beside every name, heaviest first.
- Use the workload filter to show Any workload, With work or Over capacity. Click a figure at the top (Over this week, Over next week, Open this week or Unassigned) to jump to the people or work it counts.
- Expand a person to see the projects filling their days.
- Click a day to open the fix sheet with every booking and deliverable on it.
- Choose a fix: Reassign the work, change its Hours, or Shift dates. The sheet shows a before and after preview before anything is saved.
Time off reduces a person's available hours. It never counts as workload.
Forecast and Insights
Forecast projects capacity ahead. Insights is an ABRAM read of your team's capacity and counts toward your AI usage. Both are part of Capacity planning, on Studio and above.
Conflicts
Conflicts catches crew clashes across all your productions: someone booked twice, booked during time off, or booked past their capacity. Crew conflict checks are on Studio and above.
Each conflict is a card. From a card you can:
- Change the hours on the deliverable causing it.
- Click Fix in workload to jump to that person and day in Workload.
- Click Dismiss if the clash is fine.
The view shows a count when there are open conflicts.
6. Templates
Crew templates save a crew structure you reuse, such as the roles for a standard shoot. Click New template to start one, or Import from past crew to build one from a past project's crew. Templates are on Studio and above.
7. Skills
How your organization's skills cover the work: Skill coverage, Single points of failure (skills only one person holds), Gap to hire for a project, and Growth trajectory.
8. Analytics
Capacity over time. The top row shows Utilization, Overbooked people and Available hours this week. The Capacity chart plots capacity against booked and logged hours by week, and an at-risk summary lists who needs attention.
Filter by person, location, project, role and type (Internal or External).
