Section 4.1: Crew roster
Your crew roster is the list of freelancers and companies your organization books. Your staff are on Overview. Open Team management in the sidebar and choose the Crew roster tab.
Everyone has one person record. The same record opens from the roster, from a project's crew, and from Team management, so you only ever update a person in one place.
1. The roster table
Each row shows:
| Column | What it shows |
|---|---|
| Name | Name, or company name with a Co tag |
| Last worked with | The last project you had them on, or Not yet crewed |
| Roles | The roles they work as |
| Location | Where they are based |
| Hourly and Day rate | Their rates, for planning and budgets |
| Capacity | Weekly hours they are available |
| Status | On ABRAM if they have an account, or External. An invite you sent adds Invited, and a declined one adds Declined |
Click a column header to sort by it.
Search and filter
- Search by name, company, email or role with Search name, company, email, role.
- All statuses: show everyone, only On ABRAM, or External only.
- All roles: narrow to one role on your roster.
- All locations: narrow to one place.
Edit in place
Click a person's roles, rates or capacity in the table to change them. For rates and capacity, press Enter to save or Esc to cancel. Roles save as you pick them, and Done closes the picker. These details are private to your organization.
2. A person's record
Click Manage on a row, or click the person, to open their record in a side panel:
- Identity & contact: name, email, phone and location. A company also has a Point of contact.
- Craft: the Roles they work as, their Skills and Capabilities.
- Rates & availability: Hourly, Day, Weekly capacity and availability.
- Access: their organization role, permissions, job title and department, if they are a member.
- Also on: the live productions they are on right now.
- Conflicts: overlaps such as Overallocated, Double-booked or Booked while unavailable. This section shows when you open someone from Overview.
- Booked: what they are booked on over the next 30 days.
- Notes & tags: Private notes and tags only your organization sees.
Edit a section with its pencil, then save. A member's name, email and organization role belong to their account and their member page, so the panel shows them without letting you change them here.
3. Adding someone to the roster
- On the Crew roster tab, click Add person.
- Under Kind, choose Person or Company.
- Fill in Identity & contact: name (or Company name), Email, Phone and Location. Email is required, and an address already on your roster is refused.
- Pick Roles and add Capabilities under Craft. Under Rates & availability, set Hourly ($) and Day ($). Only a person has Capacity (h/wk).
- For a company, add a Point of contact.
- Add any Private notes.
- Click Add to bench.
Adding someone to the roster contacts nobody. They show as External until they have an ABRAM account.
4. Inviting someone to ABRAM
For someone on your roster without an account, open their record and click Invite to claim. They get an email to create an account and claim their record. If an invitation is already out, the button reads Resend invite.
Inviting someone onto a production is separate. Do that from the project's crew; see Section 4.3.
5. Removing someone
Open their record, click Remove from bench, and confirm Remove from the bench? ABRAM refuses while they still hold a seat on a production or a booking, so remove them from those first. This removes them from your roster. It does not remove anyone from your organization; that happens on their member page (see Section 1.4).
