v1.3.0

Branded PDFs, Native E-Signatures, and a Rebuilt External Crew System

Welcome to the latest release of the Automated Booking and Resource Allocation Management network. This update adds branded, client-ready PDFs, native e-signatures on quotes, and a refreshed onboarding experience.

Here is everything new, improved, and ready to use in this release.

1. Branded PDF System (Pro+)

Quotes and invoices now look like they came from your studio, not a generic template.

  • Quote PDFs: Quotes can now be generated as PDFs, a document type that didn''t exist before this release.
  • Branded Invoice & Quote PDFs: Add your logo, accent color, and footer text once in your branding settings, and every quote and invoice PDF picks it up automatically.
  • Branding Settings UI: A dedicated settings page for managing your logo, accent color, and footer, with a live preview before you save.
  • Client Portal Downloads: Clients can download the branded PDF version of any quote or invoice directly from their portal.
  • PDF-Attached Emails: Quote and invoice emails now include the branded PDF as an attachment, not just a link.

2. Native E-Signatures

Quote acceptance in the client portal is now a real, legally binding signature, not a click-through button.

  • Consent & Typed Signature: Clients type their name to sign, with an explicit consent step before the signature is captured.
  • Server-Captured Evidence: IP address, browser, and timestamp are recorded server-side at the moment of signing.
  • Frozen Content: A hash of the exact quote content is generated and locked in at signing time, so what was signed can never silently change afterward.
  • Append-Only Audit Trail: Every step of a quote''s lifecycle, from sent to viewed to signed, is logged in a trail that can''t be edited or deleted.
  • Signer Timeline: See the full history of a quote''s approval process, including who took each action and when.
  • Signature Certificate Page: Signed PDFs now include a certificate page with signature and tamper-detection details built in.
  • Signed Copy Delivery: The signer automatically receives a copy of the signed document by email.
  • ESIGN & UETA Valid: The signature flow satisfies the same legal standards as dedicated e-signature platforms.

3. Onboarding & Guidance

  • Restart Walkthrough: Anyone can restart the guided walkthrough at any time from a single button.
  • Contextual Tips: Four in-context tips are now live, surfacing help exactly where it''s relevant.
  • Guided Tour Chatbot: Ask for a tour and get a deterministic, step-by-step walkthrough of the platform.
  • Personalization Step: New accounts now select their vertical and whether they run productions, work on them, or both, so the experience adapts from the first session.
  • Onboarding Reliability Fixes: Fixed a handful of edge cases around new organization creation, demo data setup, and roster claiming that could occasionally cause duplicate or inconsistent records.

This release put real weight on client-facing polish, branded PDFs and e-signatures, alongside a smoother first-run experience for new accounts. Both matter for a platform handling real contracts and real money.

v1.2.0

Client Portal: Project Visibility, Approvals, and Payments for Every Client

Welcome to the latest release of the Automated Booking and Resource Allocation Management network. This update introduces the Client Portal, a branded hub where your clients can track project status, review and approve deliverables, request new work, and pay invoices, all from a single secure link with no account or password required.

Here is everything new, improved, and ready to use in this release.

Every client now gets a private, on-brand dashboard scoped to only the projects you share with them.

  • Single Secure Link: Link one or more projects to a Client record and generate a unique, cryptographically random portal link. No client account or password to set up, reset, or manage.
  • Lightweight First Visit: The first time a client opens their link, they enter their name and email. That's the entire onboarding flow.
  • Optional Email Verification: Require a 6-digit verification code for an extra layer of confirmation before sensitive projects become viewable.
  • Client Hub Overview: A single landing page listing every project shared with that client, with live status, switchable between card and list view.

2. Configurable Project Dashboards

Per-project views built for clients, with every surface controlled by your team.

  • Overview: High-level project status and details.
  • Timeline: Key dates and milestones.
  • Run of Show: A read-only version of the day's schedule, with internal camera, audio, and crew notes stripped out.
  • Call Sheets: Summarized call sheet details for shoot days.
  • Scheduling & Stripboard: A client-safe view of the shooting schedule with internal production details, like equipment and logged time, removed.
  • Per-Project Toggles: Turn each surface on or off independently for every project. Nothing is visible until you explicitly enable it.

3. Deliverable Review & Approval

Real, logged approvals in place of scattered email threads.

  • Approve or Request Changes: Clients respond directly from the portal with a signer name and notes, creating an attributable, timestamped record.
  • Revision History: Full history per deliverable, with feedback threaded to the specific revision it was left on.
  • Granular Visibility: Control visibility per deliverable and per milestone. New items stay private until you explicitly share them.

4. Discussion & Feedback

  • Chat-Style Comment Threads: A lightweight thread per project and per deliverable, with client messages and your team's messages clearly separated.
  • Scoped Conversations: Comments on a specific deliverable revision stay tied to that revision, while general project discussion has its own stream.

5. Client Project Requests

  • Custom Intake Forms: Clients can submit new project or job requests using a form you design, combining standard fields (title, budget, dates) with your own custom fields.
  • Direct-to-Inbox Routing: Requests land in your team's inbox for review, so new work no longer arrives buried in an email chain.

6. Quotes, Invoices & Online Payments

  • Quote Accept or Decline: Clients can view and respond to quotes right inside their portal.
  • Accepted Quotes Become Invoices: Once accepted, a quote converts to an invoice the client can pay online in the same place, with no separate payment link.

7. Security & Access Control

  • No Client Accounts: Access is always a single random link. Nothing for a client to remember or reset.
  • Full Visit Logging: Every portal visit is recorded with name, email, and timestamp.
  • Instant Link Regeneration: Revoke a client's existing link and issue a new one at any time.
  • Strict Need-to-Know Scope: Clients never see your internal team roster, budgets, or any project they aren't linked to, unless it's explicitly surfaced through a quote or invoice you send.

8. Always-Live, Not a Snapshot

The Client Portal reads and writes the same project, deliverable, milestone, comment, request, quote, and invoice records already in your workspace. There is no separate portal database and no export step.

  • Real-Time Sync: Client approvals, comments, and requests appear on your side the moment they happen, with no refresh or polling required.
  • Immediate Visibility Changes: Flip a surface or deliverable from hidden to shared and that is what the client sees on their next page load.
  • Automatic Payment Reconciliation: When a client pays an invoice, the payment status updates on both sides without manual entry.
  • One Trust Boundary: A single dedicated gateway sits between the public internet and your workspace data, explicitly defining which fields a client can read or write. Nothing else is reachable.
v1.1.0

Advanced Scheduling, Master Book, and Financials

Welcome to the latest release of the Automated Booking and Resource Allocation Management network. This update introduces comprehensive improvements to our production scheduling engine, a centralized breakdown element tracking system, and powerful spreadsheet-based financial tools.

Here is everything new, improved, and ready to use in this release.

1. Advanced Production Scheduling & Interactive Stripboards

We have rebuilt the production scheduling interface to support a high-density, interactive experience mirroring physical stripboards while adding real-time automation.

  • Classic Stripboard View: A horizontal view mimicking physical production stripboards with color-coded scene strips. Scene parameters—including scene numbers, page counts, estimated shoot times, locations, and cast numbers—are instantly readable at a glance.
    • Exterior Day: Amber color preset.
    • Exterior Night: Emerald color preset.
    • Interior Day: White/zinc color preset.
    • Interior Night: Blue color preset.
  • Focused Day View: A column-based, Kanban-style view that allows production managers to focus on individual shoot days or view multiple days side-by-side.
  • Drag-and-Drop Sequencing: Fully interactive reordering of scenes and schedule items across shoot days with drag-and-drop support.
  • Scheduled Non-Scene Events (Inline Banners): Add company moves, meals, rehearsals, equipment setups, and script readings directly into the shooting timeline with custom durations and descriptions.
  • Interactive Call & Wrap Time Editors: Quickly adjust shoot day details including dates, call times, wrap times, locations, and logistics notes, with automatic timeline updates.
  • Crew Turnaround Violation Alerts: Safety warning flags automatically alert managers if consecutive shoot days violate rest windows (gaps below 12 hours) for booked crew members.

2. AI-Assisted Schedule Optimization

Our scheduling assistant has been upgraded to help automate stripboard sequencing while respecting complex production constraints.

  • Interactive AI Sort Board: Optimize shoot schedules using multiple strategies:
    • Optimize Sequence Only: Reorders scenes for optimal continuity and location grouping within their current days.
    • Distribute into Existing Days: Re-evaluates and balances scenes across the active shoot schedule.
    • Create New Days as Needed: Dynamically generates new shoot days to accommodate scenes while respecting daily working hour constraints.
  • Custom Prompt-Based Preferences: Write free-text prompts to guide the AI optimizer (e.g., "prioritize outdoor scenes first", "keep cast member X's scenes grouped together").
  • Schedule Preview: Inspect a detailed preview of the proposed schedule, including the AI's reasoning, days created, and scenes assigned, before committing changes.

3. Day Out of Days (DOOD) Grid & Overrides

The Day Out of Days (DOOD) view has been expanded to provide granular schedule mapping for all production assets, cast, and crew.

  • Unified Cast, Crew, & Element DOOD: A central grid to track booking statuses (Work, Hold, Drop, Start, Finish, etc.) across the entire shoot schedule.
  • Dynamic Status Calculations: Automatically calculates total work days, hold days, drop days, start/finish indexes, and flags scheduling conflicts.
  • Interactive Override Codes: Override automatically computed statuses for individual days directly from the grid cells (e.g., manually changing a Work day to a Hold day).
  • Customizable Booking Rules: Configure parameters per element/cast member, including day rates, hold permissions, and minimum release gap days (minimum drop/pickup intervals).
  • Multi-Category Filters: Quickly view DOOD grids filtered by Cast, Crew, or specific production categories (Props, Wardrobe, Vehicles, etc.).
  • Dual-Orientation Layouts: Toggle between vertical and horizontal grids for maximum readability.

4. Centralized Master Book of Elements

This release introduces a centralized ledger for breakdown elements, making it easier to manage physical and digital assets.

  • Master Breakdown Inventory: A consolidated view of all production elements (Props, Wardrobe, Vehicles, Locations, Cast, etc.) across the project.
  • Intelligent Usage Mapping: Displays exactly which scenes and which call sheet shoot days/dates each element is linked to.
  • Consolidated Merging Tool: Consolidate duplicate elements or fix typos. It automatically updates all scene and schedule associations from the source element to the target element.

5. Roster ROI & Utilization Analytics

Roster management is now backed by comprehensive financial and capacity analytics, helping organizations track efficiency and costs.

  • Roster ROI Dashboard: Real-time financial analytics dashboard for crew and talent rosters.
  • Headline Financial Metrics: Track key metrics including:
    • Revenue per Head: Average revenue generated per active roster member.
    • Bench Cost: The financial cost of underutilized or unstaffed team members.
    • Gross Margin %: Resource billing margins against baseline labor/talent costs.
    • Rate Efficiency %: Comparison of contracted billing rates against effective operational rates.
  • Roster Member Breakdown Table: Detailed table listing individual crew member utilization rates, hourly cost/billing rates, and gross margin contributions.
  • Advanced Analytics Tabs: Switch between Utilization Trends, Capacity Planning Heatmaps, Project Distribution, Role Utilization, and At-Risk alerts.

6. Configurable Financial Spreadsheets & Multi-Page Budgets

The budgeting system has been upgraded to support massive budgets with spreadsheet-style flexibility.

  • Multi-Page Budgeting: Support for larger budgets by organizing items across multiple sheets or tabs. Create, rename, delete pages, and assign line items to specific pages (with automatic fallback reallocation when pages are deleted).
  • Flexible Grouping & Group Folders: Group financial line items dynamically by Work Package, Category, Custom Metadata Groups, or view as a flat list.
  • Summary Group Folders: Clean header rows for each group displaying aggregated cost (Internal), price (External), and markup totals (color-coded to indicate profit margin health).
  • Centered Budget Settings: Centered configuration panel modal for managing global fringes, custom groups, and Range of Magnitude (ROM) budget parameters (minimum/maximum budget boundaries and confidence ratings).
  • Client View Mode: Replaces the redundant "Team view" preview toggles for non-manager roles, simplifying presentation of project financials to clients.

7. CSV Budget Import Tool

Managers can now ingest external budgets directly into the spreadsheet using an interactive mapping tool.

  • CSV File Uploader: Built-in parser to upload external budget sheets directly.
  • Dynamic Column Mapping: Maps columns from raw CSV files to standard budget database fields (Description, Category, Quantity, Unit, Cost Rate, Price Rate, Group/Tag).
  • Destination Assignment: Route imported items directly into selected Work Packages and Budget Pages.
  • Interactive Data Previewer: Displays mapped rows, checks mapping validity, and flags missing required fields before executing the import.

Sourcing, Scheduling & Collaboration for Modern Media Production

ABRAM V1.0: Sourcing, Scheduling & Collaboration for Modern Media Production

Welcome to ABRAM V1.0 — the first production-ready release of the Automated Booking and Resource Allocation Management network.

ABRAM is a comprehensive, AI-powered collaboration and management platform built specifically for the film, television, and media industries. It bridges the gap between client production needs, independent crew members, and full-service production companies. By combining intelligent document parsing, smart calendar-aware talent matching, collaborative contract negotiation, and enterprise-grade security, ABRAM removes the friction from building crew rosters and managing project schedules.

Here is everything new, improved, and ready to use in V1.0.

1. AI-Powered Project Intake & Brief Parsing

Say goodbye to manual scoping sheets. ABRAM V1.0 introduces an intelligent document processing engine that turns unstructured drafts and creative briefs into detailed project roadmaps in seconds.

  • Zero-Format File Processing: Upload creative briefs, treatment drafts, or project specs in PDF, Word, or plain text formats. The system automatically reads and processes the content, identifying key timelines, budgets, location needs, and required roles.
  • Bento Grid Dashboard: View your project breakdown on a clean, interactive grid. Major categories — including Scope Summary, Budget Allocations, Project Timeline, Location Parameters, and Critical Milestones — are displayed as individual, editable cards. Adjust timelines, rates, and locations directly from the grid.
  • AI Intelligence Sidebar: A real-time analysis sidebar displays an overall confidence score and highlights scope gaps or items that need closer review, such as missing deadline dates or unclear budget scopes.
  • Dynamic Clarifying Questions: The AI generates up to four contextual questions tailored to your project, covering areas like Creative Vision, Technical Constraints, and Logistics. Answering them inline instantly refines and updates your project roadmap.
  • Smart Project Decomposition: Approved briefs are automatically split into chronological phases — such as Pre-Production, Production, and Post-Production — complete with estimated roles, deliverables, due dates, and sequential dependencies.
  • Reliable Local Fallbacks: If the AI engine is temporarily unreachable, a template-driven fallback system generates standard industry-specific work structures based on your project type, so you never experience downtime.

2. Calendar-Aware Sourcing & Smart Matching

Finding the right crew involves more than checking skill badges. ABRAM's matching engine evaluates real-time calendar capacity, project constraints, and historical team chemistry to recommend optimal candidates.

  • Adaptive Scheduling Models: Roles can be scoped using three flexible scheduling types:
    • Flexible: General hourly allocations to be completed within a date range. Contractors receive a weekly capacity banner on their calendars and choose when to execute the work.
    • Hard Block: Strict, immovable call times — such as on-set filming days. The system checks weekend, evening, and timezone compatibility to prevent conflicts.
    • Deadline-Based: Anchored to a final delivery milestone. The matching engine calculates whether a contractor has enough cumulative available hours to complete deliverables on time.
  • Dynamic Capacity Tracking: Contractor availability resolves dynamically among Available, Partially Available, Mostly Booked, and Busy by evaluating active calendar bookings and profile preferences in real time.
  • Smart Match Score: Candidates are evaluated using a multi-dimensional matching score that accounts for:
    • Skills and equipment fit
    • Real calendar availability over the exact schedule duration
    • Location proximity and hybrid preferences
    • Rate alignment against the package budget
  • Historical Team Chemistry Engine: Crew matches receive a compatibility boost when they have a proven track record of working together. The system analyzes past project completions, milestone achievements, and revision cycles to surface crew combinations that communicate effectively and reduce creative friction.

3. Collaborative Workflows & Interactive Negotiations

ABRAM V1.0 replaces messy email chains with a secure, structured contract negotiation portal.

  • Multi-Turn Counter-Proposals: Contractors and clients can negotiate contract terms inline, modifying rates (Hourly, Fixed Project, or Monthly Retainer), weekly capacity commitments, and dates with markdown-supported justification notes.
  • Negotiation Timeline Threads: The complete history of counter-proposals is displayed in a chronological, card-based thread — showing exactly who proposed what, when, and why.
  • Automatic Booking Lock-In: Accepting a counter-proposal automatically updates the project contract, converts the agreed terms into an active calendar booking, and notifies both parties. Competing invitations for that role are automatically withdrawn to keep the workspace clean.
  • Organization Proposal Workflows: Production companies and agencies can respond to invitations in two ways:
    • Blanket Proposals: A single, consolidated budget estimate where staffing is handled internally.
    • Specific Team Proposals: Map internal roster members directly to required roles. Matching filters suggest internal members who fit the skills needed and automatically calculate total proposal cost based on combined rates.

4. Roster Management & Contractor Transitions

Managing teams is fluid. ABRAM includes administrative safety nets for both production companies and transitioning freelancers.

  • Independent Contractor Transition Tool: Team members leaving an agency or production house can transition their profile into an independent contractor account in one click.
  • Safety Verifications: The system verifies that a departing member has no active project bookings under the organization before the transition completes. If they are currently staffed, the transition is blocked, prompting organizers to reassign or complete outstanding work packages first.
  • Instant Seat Reallocation: Upon a successful transition, the organization's roster updates immediately, freeing up a seat for the team's next hire. The contractor retains their full history, ratings, and skills.

5. Enterprise-Grade Security & Identity Sync

ABRAM is built on a security-first architecture to protect sensitive pre-release scripts, proprietary financial rates, and user identity.

  • Zero-Delay Workspace Sync: User sign-ups, organization memberships, and role assignments synchronize instantly using advanced enterprise identity protocols. A background fallback service ensures first-time users are configured and ready to work immediately, even during high-traffic periods.
  • Leaked Password Defense: Credentials are cross-referenced during registration and password resets against databases of known public data breaches, preventing compromised passwords from being used.
  • Native Workspace Isolation: Built-in data isolation ensures client projects, contractor availability calendars, and organizational financials are protected. Users can only access records specifically linked to their authorized roles and projects.
  • Atomic Transaction Safety: Critical actions — such as hiring a crew member, building an organization, or locking in a project budget — execute as atomic operations. If any part of the sequence fails, the entire transaction rolls back to prevent half-saved states or corrupted records.
  • Simultaneous Booking Guard: Real-time locking prevents race conditions, ensuring two managers cannot book the same contractor for the same hours at the same moment.

6. Persona Plans, Feature Gating & Limits

ABRAM V1.0 introduces a transparent plan structure designed to scale with your production volume, supporting three distinct roles: Clients, Contractors, and Organizations.
