Section 4.8: Crew Access and Outside Crew Limits
Every person on a production's crew has an access level. People from outside your organization can join any production as freelancers, up to a limit set by the production's plan.
1. The three access levels
You set access in each person's row on Resources > Team > Crew.

You cannot change your own access. Ask another person who can manage the crew.
2. Who counts as outside crew
Anyone on the crew who is not a member of your organization counts as outside crew. That covers two kinds of people:
- People with their own ABRAM account who belong to another organization, or to none.
- Roster contacts who have no ABRAM account yet.
Outside crew can be Can edit or Crew view. Can manage needs a seat in your organization, so it is greyed out for them with the note "Needs a seat in your organization."
To give someone Can manage, add them to your organization first. See Section 1.4: Team Management and Permissions.
3. Limits per production
Outside crew count toward the production's total crew, and they have their own limit too.

The limit follows the plan of the organization that owns the production.
Drafted, invited and accepted people all hold a place. Declined and removed people do not, and neither do open roles.
Seeing where you stand
Above the crew table, people who can manage the crew see a count such as 3 of 10 external. On Enterprise it reads as a plain count.
When you reach the limit
The add is refused with External crew limit reached. The message tells you how many outside people your plan allows on a production. To add more, remove someone, bring them into your organization, or move to a larger plan.
4. Three active productions per outside person
One person from outside your organization can be on at most 3 of your active productions at once, on every plan. Active means the production's status is Planning, In Progress or On Hold.
If you try to add them to a fourth, the add is refused with Already on 3 of your productions. Add them to your organization as a seat to put them on more.
Completed and cancelled productions do not count.
5. What the limits never do
- Someone who is already on a crew is never removed or downgraded because of a limit.
- An invite you already sent can always be accepted.
- A person leaving your organization never breaks a production they are on.
The limits apply only when you add someone, fill an open role, or change a person's access.
