Section 4.4: Managing Your Schedule

Schedule in the sidebar is your own calendar. It shows every booking you have across productions, your meetings and time off, and how full your weeks are. Your own calendar is free on every plan.

1. Calendar and Time card

The page has two tabs at the top:

2. Views

Switch between Month, Week and Day in the calendar toolbar. Use the arrows to move through dates, and Today to jump back to the current one.

In Week and Day, open View to choose Hours shown: 8 AM - 8 PM or 24 hours. In Week, View also sets Days shown: Work week or Full week.

On the Week grid you can drag an event to a new time or day.

Your numbers

A strip under the toolbar shows your figures for the period on screen:

  • Planned: hours booked for you.
  • Actual: hours you logged.
  • Monthly util and Weekly util: planned hours against your capacity. They are highlighted at 100% or more.
  • Invites: work you have been offered and not answered yet. Click it to review them.

3. Colour coding

Every block on your calendar is colour coded, on every plan.

  1. Click Color by in the toolbar. On a narrow window it sits under View.
  2. Choose Project, Type or Client.

ABRAM remembers your choice. Blocks with no project, such as meetings and time off, use their type colour.

The legend under the calendar keys the colours on screen. On Pro and above you can click a group in the legend and pick its colour from the palette, or go back to Default. Only admins can change client colours. On Free the palette shows but the colours are fixed.

4. Adding events and time off

  1. Click Add event in the toolbar.
  2. The New event sheet opens. Pick a Booking type:
    • Meeting: a call or sync. You can add attendees and a Meeting URL.
    • Project work: time set aside for a production.
    • Time off: vacation, sick days or any time you are unavailable.
    • Personal: a personal commitment.
  3. Fill in Title, Start date, End date and the times, or turn on All day.
  4. Add a Related project, Location or Notes if you need them.
  5. Click Create event.

To change an event, click it, edit the sheet and click Save changes.

Time off reduces your available hours for those dates. It never counts as workload, so it does not push your utilization up.

5. Conflicts

When your bookings overlap, or your planned hours go past your capacity, a banner appears above the calendar: "N scheduling conflicts detected".

  1. Click Review on the banner.
  2. The Scheduling conflicts sheet lists what clashes.
  3. Fix each one by moving an event, shortening it, or declining an invite you cannot take. Click Dismiss on a conflict that is fine.

6. Calendar settings

Click the gear (Calendar settings) in the toolbar.

  • Subscribed calendars: show another calendar, such as your personal one, on your ABRAM schedule. See Section 4.5: Syncing External Calendars.
  • Publish my calendar: click Create link to get a private, read-only link to your ABRAM schedule for another calendar app. Anyone with the link can read your schedule, so keep it private.

Slack routing is set up by your organization's admins. See Section 6.1: Slack Notifications.
