Section 3.4: Task Lists & Tracking
The Tasks tab of a project is an interactive board built into the project page. It brings together three types of work items (Deliverables, Milestones, and Work Orders) into a single view, and gives you a grid or list view toggle plus a search bar to work through them however suits the moment.
1. Viewing and Searching Tasks
At the top of the Tasks tab you'll find the tools for finding and arranging what you need:
- Grid/List View Toggle: Switch between a grid layout (better for scanning many items at a glance) and a list layout (better for reading details in a row).
- Text Search: Type into the search bar to filter tasks by title or description text.
- Filters: Narrow the board down by status, type (Deliverable, Milestone, or Work Order), or assignee to focus on a specific slice of the work.
- Grouping: Tasks can be grouped — for example, by their parent Work Package or assignee — so related items sit together on the board.
2. Reordering and Assigning Tasks
Tasks on the board can be moved and reassigned directly:
- Drag-and-Drop Reordering: Click and hold a task, then drag it to a new position or grouping on the board to reorganize it.
- Assignment: Assign a task to a team member or freelancer so it shows up on that person's workload, and reassign it at any time as work shifts.
For deliverables specifically, larger items can also be broken down into checklist sub-tasks so you can track partial progress instead of treating the whole deliverable as one all-or-nothing item — see Section 3.8 for more on organizing deliverables.
3. Creating and Editing Tasks
Project Managers can click Add Task or select the edit pencil icon on any item to open the configuration windows:
Deliverables Settings
- Set the deliverable title, notes, file/link type, and priority.
- Assign a freelancer and specify target delivery dates.
- Define required producer revision rounds and estimated hours.
Milestones Settings
- Set the milestone name and due date.
- Assign a milestone lead.
- Toggle the payment release percentage.
Work Order Settings
- Configure schedule dates, times, crew members, and equipment lists. (See Section 3.3 for details).
4. Automatic Progress Tracking
Rather than relying on manual progress updates, ABRAM calculates project progress automatically as tasks are completed:
- State Changes: When a freelancer updates a deliverable to Completed or a producer/manager marks a milestone as Completed, an automated calculation is triggered.
- Work Package Progress: The system automatically recalculates the completion percentage of the parent Work Package.
- Project Progress: The system aggregates all active Work Packages to compute the overall project progress.
- Interface Sync: The progress bar in the project header updates automatically across the platform to reflect the latest status.
