Section 2.1: AI Brief Analyzer (Brief Intelligence)
[!WARNING] Verify Budgets and Scopes Brief Intelligence provides Rough Order of Magnitude (ROM) budget estimates and role suggestions based on text extraction. These estimates are directional only. Always review and verify the final budget allocations and role requirements before publishing or matching.
The AI Brief Analyzer (referred to in the interface as Brief Intelligence) is ABRAM's smart intake wizard. It allows producers and project managers to initialize complete project blueprints from a simple text description or an uploaded creative brief document.
The analyzer parses your project scope, generates structured work packages, estimates budgets and timelines, and prepares your project for staffing — all before you finish setup.
1. Preparing and Submitting Your Brief
You can access the AI Intake Wizard from the New Project screen by selecting the Brief Intelligence card, labeled "Initialize with AI" and marked Recommended. This opens an intake screen headed "AI Assisted."
[!NOTE] If your organization is already at its plan's active-project limit (for example, the Free plan's limit of 2 active projects), the intake screen is replaced by an upgrade prompt instead.
There are two ways to provide your project details:
Option A: Uploading a Brief Document
- Supported File Types: PDF, Microsoft Word, and plain text files.
- File Size Limit: Maximum 5 MB.
- Plan Requirement: File upload requires a Solo Pro plan or higher. On lower plans, the upload area is replaced by an upgrade prompt — you can still provide your brief by typing a description instead.
Option B: Typing a Description & Using Helper Templates
You can type your scope directly into the text editor.
- Minimum Length: Your description must be at least 100 characters long for the intelligence engine to extract meaningful parameters.
- Helper Templates: To help structure your thoughts, select one of the pre-made helpers: Blank, Filmmaker, Marketing, or Creative.
Optional Extras
- Inspiration References: You can add up to 5 inspiration or moodboard reference links.
- Creative Industry & Budget Range: Optional dropdowns let you specify your project's creative industry and an approximate budget range before submitting.
When you're ready, click Initialize Brief Analysis.
2. How the AI Extracts Project Parameters
After you click Initialize Brief Analysis, a single animated processing screen shows ABRAM working through your brief. The AI extracts:
- Project Details: Suggests a project title and summarizes the project description.
- Work Packages: Groups work items into logical phases (e.g., Pre-Production, Production, Post-Production).
- Roles & Skills: Detects the required talent roles and disciplines.
- Deliverables: Generates the specific files, links, or milestones to be delivered.
- Timeline: Projects an estimated schedule, including key dates and locations where relevant.
- Estimated Budget Range: Produces a Rough Order of Magnitude (ROM) budget range along with a confidence level for the estimate.
A draft of your project is saved automatically during this process, so nothing is lost if you get interrupted.
3. Clarifying Questions (When Needed)
If the AI's confidence in its extraction is below roughly 70%, the wizard pauses to ask you a short set of clarifying questions before continuing — up to 4 at most.
You'll see:
- An Items to Review list summarizing what needs your attention.
- Editable cards covering Project Brief, Budget, Timeline, Locations, and Key Dates, where you can fill in or correct details directly.
Once you've answered what you can, click Create Work Plan to continue. This does not re-run the analysis — it simply applies your answers and moves you forward.
If the AI's confidence is already high enough, this step is skipped entirely.
4. Your Work Plan Is Already Built
Whether or not clarifying questions appeared, by this point ABRAM has already created your project along with its work packages, milestones, deliverables, and work orders. You land on the Review Work Plan screen, which includes:
- A task board showing the generated work packages and deliverables.
- An AI Planner sidebar with a suggested payment schedule and insights covering budget risks, timeline gaps, assumptions made during extraction, and recommended next steps.
- A Matching Configuration panel for deciding how to staff the work.
5. Matching Configuration
The Matching Configuration panel lets you decide how each piece of work gets staffed before you move on:
- Staffing Mode: Each work item has a staffing mode toggle. In the current phase, the available modes are Internal (match against your organization's private roster) and Skip (staff manually later) — Internal is the default. A Set All control lets you apply one mode to every work item at once.
- Match Equipment: Each work order also has its own Match Equipment toggle, for matching and allocating physical hardware kits, studio spaces, or equipment packages.
When you're finished, choose one of:
- Finalize & Run Matching — runs matching for everything set to Internal and opens the matching results.
- Skip matching and view project — skips automated matching and opens your new project directly.
6. How Task Hours are Distributed
When translating your project brief into work packages, the system assigns effort hours to each required role based on three options:
- Manually Specified Hours (Free): The system first looks at hours you have explicitly assigned to roles. These manual allocations are free and do not use AI credits.
- AI Allocation (Uses Credits): If no hours are specified, the AI estimates how to split package hours among active roles based on project complexity.
- Equal Division (Fallback): If AI estimation cannot run (due to connectivity issues or insufficient credits), the system divides the hours equally among all required roles.
7. Credit Consumption & Caching Benefits
All AI features on the ABRAM platform are metered and charged in a clear, budget-friendly manner. Actual costs are computed from your usage and vary with the length and complexity of your brief — they are not fixed per action.
Credit Ledger & Billing Entities
- Workspace Billing: All AI operations are charged to your organization's shared credit ledger. If you are a freelancer or solo business owner, charges are applied to your personal workspace ledger.
- Onboarding Exceptions: To help you get set up, AI operations performed during the initial signup wizard (such as parsing your resume or scoping your very first test project) are free.
Budget-Saving Features
To help you avoid unnecessary charges, the platform includes:
- Saved Project Estimates: Once the AI estimates your hours or deliverables, they are saved directly to your project. Reviewing or reloading these details costs $0 in credits.
- Smart Text Memory: If you make small adjustments to a large brief, the AI only analyzes the changes rather than re-reading the entire document, saving you credits on successive refinements.
8. Step-by-Step UI Navigation
Here are the exact clicks to analyze a brief and build a work plan:
- Open the Project Gateway: On your sidebar, click Projects.
- Launch the Analyzer: Click New Project, then select the Brief Intelligence card ("Initialize with AI," marked Recommended). You'll land on the AI Assisted intake screen.
- Provide Your Brief:
- If you have a document and are on a Solo Pro plan or higher: drop your PDF, Word, or text file (under 5 MB) onto the upload area, or click to browse and select it.
- If writing manually: select a template (Blank, Filmmaker, Marketing, or Creative) and fill in your description, using at least 100 characters. Optionally add up to 5 inspiration links and set the Creative Industry or budget range dropdowns.
- Trigger Analysis: Click Initialize Brief Analysis. A single animated screen shows the AI extracting your project details.
- Answer Clarifying Questions (if shown): If the AI's confidence is below about 70%, review the Items to Review list, fill in the editable cards (Project Brief, Budget, Timeline, Locations, Key Dates), and click Create Work Plan.
- Review Your Work Plan: On the Review Work Plan screen, check the task board and the AI Planner sidebar's suggested payment schedule and insights.
- Configure Staffing: In the Matching Configuration panel, set each work item's staffing mode (Internal or Skip, using Set All if you want one setting applied everywhere) and toggle Match Equipment on any work orders that need it.
- Finish: Click Finalize & Run Matching to run matching and view the results, or Skip matching and view project to go straight to your new project.
